Opening a Mailing

To open a mailing, click the corresponding list entry on the overview page. The following details view is then displayed.

Mailing details

The upper menu of this single view offers the following functions:

  • Edit: Change the title, expected release date, sender and return addresses, subject, and the contents unless the mailing was closed.

  • Delete: Deletes the mailing. This function is only available if the mailing has no recipients.

  • Release/Send/Close: Start generating and dispatching the e-mails.

  • Add to Clipboard / Remove from Clipboard: Depending on whether the mailing is in your clipboard, one of these buttons is displayed.

There are three tabs on this page, Recipients, Text E-Mail, and HTML E-Mail, which are explained below:

Recipients

On the Recipients tab, the following buttons are available:

  • Show All Recipients: Opens the list of contact persons who were added to the mailing as recipients. If a mailing was closed, its recipient list cannot be modified.

  • Edit: This opens a form for adding contact persons to or deleting persons from the recipient list. Please refer to section Carrying out a Mailing for a description of this process.

Furthermore, this tab includes statistical data, which is useful especially for closed mailings. Among other things, you can see the number of recipients who clicked the links contained in the e-mail. These figures are available as absolute and relative values and are visualized as small bar graphs. Clicking the caption of a bar opens the corresponding list of e-mail recipients, e.g. the list of contact persons who opened a particular link contained in their e-mails. Clicked links also show up as activity in the diary of the correponding contact person. (Your web application needs to support the recording of followed links contained in e-mails.)

Text E-Mail and HTML E-Mail

On the Text E-Mail and HTML E-Mail tabs, you can view the e-mails to be sent (or that have been sent, respectively) in both formats. Additionally, the following functions are available:

  • Edit: With mailings not yet released, you can click the Edit button to create or modify the contents of the e-mails.

  • Preview: Opens a preview of the e-mail in the respective format using a sample sender and recipient.

  • Send E-Mail Proof: This opens a form for sending a test e-mail in the chosen format:

    Select a contact person available in the OMC and click Send Proof E-Mail. The e-mail is sent to the e-mail address of the OMC user currently logged in, not to the contact person specified. The latter only serves as a data source for the contact person fields queried in the e-mail.

    The test e-mail gives you the possibility to check whether the text of the e-mail is properly formatted in your e-mail application. You might also wish to ensure that the fields used in the text of the e-mail have the desired effect.
