Creating and Extending an Activity

You can create an activity via the details view of the corresponding person or account (use the corresponding item from the New menu on the Actions tab), or via the New button on the Activities main page. Both approaches will lead you to the following form which is automatically filled-in with the person or account name, if available.

Select activity type

After the type of the new activity has been selected, a form is displayed for specifying the basic data of the activity:

First enter the subject (the Title) of the activity and specify the person to which it refers. If the inquiry is being created via an account, it will be displayed, and its contact persons are offered to you for selection. Otherwise, it is best to select the person from the search results displayed dynamically. Then fill in the other fields of the form. All in all, the following fields exist:

Type The activity type has been determined by the selection you made. Administrators can define any number of activity types in the General Configuration section.
Title Here, enter a title or summary for the activity as a whole. Later on, you can specify an individual title for every diary entry.
Account The account is determined by means of the person selected and is displayed as soon as it has become available. It cannot be changed manually.
Contact Person The person to whom the activity is to be assigned.
E-Mail CC A comma-separated list of e-mail addresses. To these addresses copies of the replies given by your staff members are sent if the corresponding option is chosen (this can be done individually for every extension, see below).
Responsible The user of your company who is responsible for the activity.
Priority Enter here one the values from _Critical_ to _Info_ to mark activities that require preferential treatment, for example.
State The state of an activity can be used, with inquiries, for example, to record who is expected to take action next. The activity states can be freely defined in the General Configuration.
Tags Assign tags to your activities to put them into categories or associate them with particular topics.
Additional fields The specification of an activity type can include as many additional fields as required. The values of these fields can be set using this form. In the example above, Product group is such an additional field.

Click Create. The details view of the activity is displayed.

Extending an Inquiry

Using the New menu and one of its items on the Actions tab, a diary entry or a todo can be added to the activity. Clicking New diary entry causes the following form to be displayed:

FieldMeaning
Person Each diary entry can be associated with any person belonging to the account concerned.
Entry Type Here you can specify how the information was given to you (for example via e-mail)
Title The subject or topic of the diary entry.
Published This option is relevant in conjunction with web applications that use OMC web services to retrieve activities and their diary entries. If this option is chosen, this entry will be included in the results returned by webservices asking for the list of entries of this activity. Otherwise this entry is suppressed, meaning that the contact person cannot see it (e.g. in your customer portal).
Send E-Mail If this option is chosen, this this entry is sent by e-mail to the person associated with this activity, and to the addresses specified in the _E-Mail CC_ field. Otherwise, no e-mail is sent at all.
Content The text describing the issue, e.g. the e-mail the contact person has sent, a memo or other notes.
State of activity This correponds to the status field part of the activity's basic data mentioned above.

Double-check your input, especially the Published and Send E-Mail options, before creating the inquiry by clicking Create.
